Digitalising an activity that coordinates several stakeholders
Activ'dog is a non-profit whose mission is to improve people's well-being through animal-assisted interventions. Its therapy animals work with elderly people, children, adults and people with disabilities, in institutions across Belgium. This model rests on a strict quality requirement: every animal must have passed a positive social and behavioural test, and every handler wears a badge certifying their training. Behind every session, then, there is a qualified handler, a validated animal, a client institution and a schedule to keep. Three groups of stakeholders to coordinate constantly — clients, the manager and handlers — for an organisation that until then relied on a patchwork of disparate tools, at the cost of considerable administrative work and a fragmented view of the activity.
02 — Objectives
Digitalising the entire chain, from service to invoice
The project aimed to bring the entire activity together into a single system: uniting the three types of stakeholders — clients, the manager and handlers — within the same environment, each with their own view and permissions; automating the administrative chain end to end, from logging the service to invoicing; managing the activity's side aspects — consumables, equipment and training, until then tracked separately; and supporting the association's outreach by raising awareness of animal-assisted interventions, recruiting volunteers and generating its own resources.
03 — Our solution
A complete platform: business application, website and community
Gigaweb designed and developed Activ'dog's entire digital system, built around three complementary components. The business application digitalises the core of the activity: the process is fully automated, from managing services through to the digital invoice issued via Peppol, and it also handles consumables management and training tracking — two essential aspects for an association whose service quality relies on trained, equipped handlers. Each stakeholder accesses it with their own role: the client tracks their interventions, the manager oversees everything, the handler manages their schedule. The website carries the association's mission, with educational content on animal-assisted interventions and canine therapy, an online store and a donation module. Finally, a discussion forum keeps the community alive between sessions: training and dog-testing dates, exchanges between handlers, shared resources.
04 — Results
An association managed from a single place
Activ'dog now has a unified information system, where several disconnected tools previously coexisted: services, invoicing, consumables and training are all managed from a single platform. Fully automating the administrative cycle — right through to issuing invoices in Peppol format — eliminates repeated data entry and processing delays, freeing up precious time in a non-profit where every hour matters more than budget.
